Job Summary:

The Document Controller – Procurement is responsible for managing, organizing, and maintaining all procurement-related documents, records, and correspondence in line with company standards. This role ensures that all supplier communications, purchase orders, contracts, and procurement files are properly controlled, easily retrievable, and compliant with auditing and reporting requirements.

Key Responsibilities:
  • Maintain and update all procurement-related documents, including purchase requests, purchase orders, contracts, quotations, and supplier correspondence.
  • Ensure proper filing, coding, and indexing of procurement documents in both electronic and hard-copy systems.
  • Track the flow of documents between procurement, finance, suppliers, and project teams to ensure timely approvals and responses.
  • Support procurement officers by preparing and distributing documentation as required.
  • Ensure version control and proper archiving of procurement documents.
  • Maintain confidentiality of sensitive procurement and commercial information.
  • Assist in audits by providing accurate and up-to-date procurement documentation.
  • Generate reports and logs for tracking procurement document status and outstanding actions.
  • Coordinate with suppliers and internal departments to follow up on pending documentation.
  • Ensure compliance with company policies, ISO standards, and document control procedures.
Qualifications & Skills:
  • Diploma or bachelor’s degree in business administration, Supply Chain, or related field.
  • 2–5 years of experience as a Document Controller or freshly graduate , preferably in procurement or supply chain.
  • Proficiency in MS Office and document management systems (DMS/ERP).
  • Strong organizational and record-keeping skills with high attention to detail.
  • Good communication skills in English (Arabic is an advantage).
  • Ability to manage multiple documents and deadlines in a fast-paced environment.
  • Knowledge of procurement processes and workflows is a plus.
Work Environment:
  • Based at the head office with coordination across procurement, finance, and project teams.
  • Requires interaction with suppliers, subcontractors, and internal departments.
  • Fast-paced, detail-oriented environment with strict compliance requirements.
